ADMINISTRATOR’S INFORMATION REGARDING THE PROCESSING OF PERSONAL DATA

Based on Article. 13 sec. 1 and sec. 2 and art. 14 sec. 1 and sec. 2 of Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of individuals with regard to the processing of personal data and on the free movement of such data, and repealing

Directive 95/46 / EC U. UE. L. 2016.119.1 of May 4, 2016, hereinafter referred to as “GDPR”, Rentis S.A. informs that:                     

  1. The administrators of your personal data are:

NIP 5222993398, REGON 145923560, share capital PLN 200,000 paid up in full, entered into the Register of Entrepreneurs kept by the District Court for the capital city of Warsaw in Warsaw, 14th Commercial Division of the National Court Register under KRS number 0000402288, hereinafter referred to as “Rentis”, also to the extent specified below, the Authorized Representative of Rentis (list and contact details on the website www.rentis.com), hereinafter referred to as the Partner, i.e. the entity with which the rental agreement was concluded by you. The contact details of a given Partner are included in the rental agreement.

  • Contact details of the Data Protection Officer:

Rentis has appointed a Data Protection Officer, who can be contacted at the following e-mail address: iodo@rentis.pl, address for service: Fordońska 325 Street, 85-796 Bydgoszcz. You can contact the Inspector in all matters related to the processing of your personal data and the exercise of the rights related to the processing of your data, referred to in point 8.

  • Purposes and legal grounds for the processing of personal data:

Depending on the consent given and when the contract has been concluded, including the vehicle rental contract, the provision of vehicle reservation services, Rentis and the Partner process your personal data for the following purposes and on legal grounds:

  • consent for marketing communication – Art. 6 sec. 1 point a GDPR,
  • conclusion of a vehicle rental agreement, provision of vehicle reservation services and performance of the above-mentioned agreements – Art. 6 sec. 1 point b GDPR,
  • taking action at the request of the data subject before concluding the above-mentioned contracts – Art. 6 sec. 1 point b GDPR,
  • performance of the contract, contact with the client, art. 6 sec. 1 point b GDPR,
  • fulfillment of the legal obligation incumbent on Rentis or a Partner (eg issuing VAT invoices) – art. 6 sec. 1 point c of the GDPR,
  • arising from legitimate interests pursued by Rentis or the Partner or by a third party to which Rentis or the Partner entrusted these data for processing – art. 6 (1) (f) of the GDPR.

The legitimate interests pursued by Rentis or the Partner or by a third party to which Rentis or the Partner entrusted these data for processing are:

  • direct marketing of the Administrator’s own products or services,
  • analysis of the services provided and products sold in order to measure your satisfaction (in connection with the contracts performed),
  • maintenance, administration and development of IT systems and data security,   
  • implementation of the Administrator’s claims, including debt collection activities, in particular through court and enforcement proceedings, or to defend against claims related to the concluded contract through court and enforcement proceedings,
  • detecting and preventing crime, including fraud,
  • protection of Rentis’ property.
  • Categories of data processed: tenant’s and user’s data, such as: name, surname, name, Pesel, tax identification number, address, telephone number, gender, date of birth, identity document number, driving license number, e-mail address, payment information , including card details, data necessary to represent the entity, data from GPS.
  • The recipient of personal data will be:

Partner, Rentis franchisees and entrepreneurs cooperating with Rentis or a Partner on the basis of concluded contracts, including in particular IT, IT, hosting, accounting, tax, legal and logistic services, in addition, entities providing marketing services, call center, debt collection and destruction services documents, institutions dealing with debt collection and trade in receivables, economic information offices (including the National Debt Register). Personal data may also be transferred to postal operators, competent judicial authorities (Courts, Police, Prosecutor’s Office, Bailiffs), as well as tax offices, ZUS.

  • Personal data will be kept for a period:

implementation by the Administrator of the purposes for which the data has been made available, in particular

  • in the case of data processing necessary for the Administrator to fulfill a legal obligation – for the period of limitation of mutual claims and tax obligations resulting from the relevant provisions of tax law,, 
  • in the case of data processing in order to implement the legitimate interest of the Administrator for the period until you submit an objection, subject to the need to process data until the end of the period necessary to establish, assert or defend claims,,
  • in the case of data processing for direct marketing purposes, until you withdraw your consent (if there is no other legal basis for processing) or object (we will stop processing your data for this purpose).
  • Source of data origin:

data provided by you, data provided by administrators (e.g. by insurance companies), data based on documents, data from websites (cookies), in relation to business entities also from public registers of CEIDG and KRS, and data from GPS system.

  • You have the right to:
  • request access to your personal data,
  • rectification, deletion, and restriction of data processing,
  • data portability,
  • object to the processing of this data,
  • withdrawal of consent to data processing at any time (if the processing takes place on the basis of consent, but without affecting the lawfulness of the processing, which was carried out on the basis of consent granted before its withdrawa,
  • lodging a complaint to the President of the Personal Data Protection Office in connection with the personal data breach (Office of the President of the Personal Data Protection Office (PUODO), 2 Stawki Street, 00-193 Warsaw) in connection with the personal data breach.
  • Providing your personal data by you is voluntary, but necessary for the purpose: conclusion and implementation of the above-mentioned contracts indicated in point 3, or taking action at the request of the data subject, before concluding the above-mentioned contracts. The consequence of not providing personal data will be the inability to conclude and perform the contract.
